This Privacy Policy explains how Beezview collects, uses, stores, shares and protects personal data processed in connection with the use of the platform. It applies to public website visitors, registered users, invited members, organization administrators and, where relevant, individuals whose data is entered into workspaces. It supplements the Beezview Terms and Conditions and should be read together with any information provided at registration, payment or when using specific features. By using Beezview, the user acknowledges having been informed of the processing described in this policy.

Beezview is a product of ARTIFIXIELL, a company governed by Congolese law and registered with the RCCM under number CG-BZV-01-2025-A10-00916. ARTIFIXIELL acts as data controller for data needed to manage accounts, organizations, user relations, security and platform operation. When a user imports data relating to their own clients, collaborators or project stakeholders, the user remains responsible for the lawfulness of that collection and for informing the individuals concerned. ARTIFIXIELL then processes such data only to the extent necessary for hosting, security and execution of the requested features.

Beezview may collect data provided directly by the user, including name, email address, encrypted password or authentication information managed by a provider, organization, role, invitations, preferences and account settings. The platform may also process information about clients, projects, briefs, deliverables, approvals, delays, payments, reports, comments and documents that the user chooses to enter or import. This data is required to provide a structured experience and allow the organization to track its operations. The user should not enter sensitive data that is unnecessary or disproportionate to the purpose of the project.

Beezview may automatically collect certain technical data, including IP address, browser type, device used, activity logs, login dates, application errors, session information and events required for security. This information helps maintain the service, prevent abuse, analyze incidents and improve application stability. Technical data is used proportionately and is not intended to abusively profile users. Some data may come from third-party services required for hosting, email delivery, authentication or payment.

Personal data is processed to create and manage accounts, enable secure access to Beezview, manage organizations, invite members, assign roles and provide subscribed features. It is also used to generate documents, retain approval history, track projects, support collaboration and produce operational reports. These processing activities are necessary for the performance of the service requested by the user or organization. Without certain data, Beezview could not properly provide its core features.

Data may also be used to send transactional emails, notify users of invitations, confirm actions, communicate important changes, manage support or respond to administrative requests. ARTIFIXIELL may process certain data to prevent fraud, secure access, detect abusive behavior, apply quotas, comply with legal obligations and defend its rights. Marketing communications, where applicable, are based on an appropriate legal basis and may be disabled where required by law. Beezview does not use private project data to sell commercial lists to third parties.

Processing carried out by Beezview may be based on the performance of a contract where data is required to provide the service, manage the account, generate documents or apply the rights of the selected plan. Processing may also be based on ARTIFIXIELL’s legitimate interests in securing the platform, preventing abuse, improving the service, processing technical logs and ensuring operational continuity. Where required by law, certain processing may rely on consent, such as non-essential cookies or certain communications. Some processing may also be necessary to comply with legal, tax, accounting, compliance or authority cooperation obligations.

Where the user acts on behalf of an organization, that organization may have its own legal obligations toward clients, employees, contractors or contacts. The organization must ensure that it has a valid legal basis for importing or processing such data in Beezview. It must also inform the individuals concerned where required and limit the information entered to what is necessary. ARTIFIXIELL cannot determine on behalf of the organization the legal basis applicable to each client or project relationship.

When Beezview uses Paddle for payments, Paddle may act as Merchant of Record for the transaction. In that case, Paddle processes certain data required for payment, invoicing, tax handling, fraud prevention, refunds, payment disputes and compliance obligations. ARTIFIXIELL may not receive all payment information and must not directly collect full bank card details when Paddle processes them. The user should consult Paddle’s terms and privacy policy to understand Paddle’s processing in connection with the transaction.

Beezview may receive from Paddle information needed to activate or manage the subscription, such as customer identifier, subscription identifier, purchased plan, payment status, validity period or billing events. This data is used to assign access rights, apply quotas, display subscription status and handle account-related support. Data received from Paddle is used to operate Beezview and should not be used for purposes incompatible with the subscription relationship. Requests strictly related to payment, invoices or refunds may need to be handled through Paddle where Paddle is the Merchant of Record.

Beezview allows the user to enter information relating to their own clients, projects, contracts, deadlines, approvals, payments, revisions, deliverables and operational communications. This data belongs to the user or organization to the extent of their respective rights. ARTIFIXIELL does not claim ownership of professional content entered into the platform. The platform processes it only to provide features, secure access, generate requested reports and maintain the traceability required for the service.

The user must avoid entering excessive, unnecessary, unlawful or sensitive data when it is not required for project management. Where data of end clients, employees, subcontractors or contacts is added, the user organization must ensure it has the right to do so. It must also comply with applicable rules on confidentiality, professional secrecy, intellectual property and personal data. Beezview is not intended to host medical data, sensitive banking data, secret credentials, highly confidential documents or regulated data without appropriate authorization and safeguards.

Organization administrators may invite members, assign roles and manage access to the workspace. Invitation data may include the invited email address, proposed role, invitation status, expiration date and invitation token. This information is required to allow the invitee to join the organization and to verify that the address used matches the invitation. The administrator must invite only persons authorized to access the organization’s data.

Roles and permissions are intended to limit access to data according to each member’s authorization level. ARTIFIXIELL implements reasonable mechanisms for organization separation and access control, but the organization remains responsible for internal member management. When a member leaves a team, changes responsibilities or no longer needs access to data, the administrator should update or remove that access. Member management actions may be logged for security and traceability.

Beezview may send transactional emails required for normal operation of the service. These emails may concern invitations, account creation, important notifications, project actions, approvals, documents, support, security or changes affecting the service. Transactional emails are not merely promotional communications; they are necessary for use of the platform or for the contractual relationship. Action links contained in these emails may be presented as premium buttons to improve readability, security and user experience.

Emails may be sent by a specialized provider such as Resend or another equivalent provider used by ARTIFIXIELL. In this context, minimal data such as the recipient’s email address, subject, message content, delivery status and associated technical information may be processed. These providers are used to ensure deliverability, security and message traceability. The user must not use Beezview invitations or notifications to send abusive, misleading, unlawful or unsolicited messages.

Beezview may use cookies, local storage, session identifiers or similar technologies to provide authentication, maintain sessions, remember certain preferences, secure access and improve user experience. Cookies strictly necessary for the operation of the service may be used without consent where permitted by applicable law. Other cookies, including analytics or marketing cookies, may require specific information or prior consent depending on applicable regulations. The user may configure their browser to block certain cookies, but this may affect the proper operation of Beezview.

Cookies or similar technologies should not be used to collect more information than necessary for their purpose. If Beezview later implements advanced analytics tools, appropriate information may be displayed in the interface or in a dedicated policy. The user’s cookie choices will be respected to the extent required by law and supported by available technical capabilities. Security, authentication and session cookies may remain necessary to access protected areas of the application.

ARTIFIXIELL may share certain data with providers strictly necessary for the operation of Beezview, including hosting, database, authentication, email, payment, document generation, technical monitoring or support providers. These providers should process data only within the scope of the services supplied and under conditions compatible with data protection. ARTIFIXIELL does not sell users’ personal data to data brokers or advertising third parties. Any sharing must be limited, justified and proportionate to the purpose pursued.

Data may be disclosed where required by law, where a competent authority makes a valid request, or where necessary to enforce the Terms, protect ARTIFIXIELL’s rights, or prevent fraud, security threats or unlawful use. In the event of reorganization, business transfer, merger, financing, asset transfer or similar transaction, certain data may be transferred subject to applicable safeguards. Users will be informed where reasonably required by law or by the nature of the transfer. Shared data remains subject to appropriate confidentiality and security obligations.

Data entered, imported or generated in the Beezview application is not transmitted to third-party generative artificial intelligence platforms for training, analysis or automated content generation. Processing related to the Intelligence Center feature is performed by Beezview’s own intelligence engine, within the platform’s technical environment and only to the extent necessary to provide the analyses, scores, alerts and recommendations displayed to the user.

Because Beezview is an online service, certain data may be processed or hosted in countries other than the user’s country of residence. Such transfers may depend on the location of servers, cloud providers, email providers, payment services or technical tools used. ARTIFIXIELL endeavors to use providers offering appropriate contractual, organizational and technical safeguards. The user acknowledges that modern SaaS services often rely on distributed infrastructure and international providers.

Where specific international transfer rules apply, ARTIFIXIELL may rely on appropriate mechanisms such as contractual clauses, data processing agreements, security commitments or other recognized safeguards. Information concerning certain providers may be provided upon request where reasonably possible. ARTIFIXIELL may change providers to improve performance, security, compliance or service availability. Such changes should not unreasonably reduce the expected level of protection.

ARTIFIXIELL implements reasonable measures intended to protect data against unauthorized access, loss, alteration, disclosure or destruction. These measures may include session management, authentication, role-based access controls, organization separation, permission restrictions, technical logs, backups and protection mechanisms provided by the infrastructure. Security is assessed and progressively improved as the platform evolves. No measure can guarantee zero risk in a connected digital environment.

The user contributes to security by protecting credentials, using a reliable email address, avoiding password sharing and limiting access to authorized persons. The user must promptly report any suspected unauthorized access, lost credentials, abnormal activity or data leak. Organization administrators must remove access that is no longer needed and assign roles carefully. ARTIFIXIELL may temporarily suspend an account or organization where there is a serious security threat.

Data is retained for as long as necessary to provide Beezview, manage the account, perform the subscription, ensure security, provide support and comply with legal or contractual obligations. Project data may be retained while the organization keeps its account or until deleted by an authorized user. Certain technical data, logs or activity traces may be retained for shorter or longer periods depending on security and diagnostic needs. Generated documents remain available according to the plan features and user choices.

After termination, account deletion or a deletion request, certain data may be deleted, anonymized, archived or retained in a limited manner where required by law, security or the defense of rights. Technical backups may temporarily retain certain information before automatic deletion according to backup cycles. Data required for invoicing, payments, accounting or disputes may be retained longer. The user should export important data before requesting irreversible deletion.

Depending on applicable law, individuals may have rights over their personal data, including rights of access, rectification, erasure, objection, restriction, portability and, in some cases, the right not to be subject to a fully automated decision producing significant effects. These rights may vary depending on the country, legal basis, data type and role of Beezview or the user organization. A request must be sufficiently precise to identify the person and processing concerned. ARTIFIXIELL may request additional information to verify the identity or authority of the person making the request.

Where a request concerns data controlled by a user organization, ARTIFIXIELL may redirect the person to that organization or reasonably cooperate with it. Some requests may be refused or limited where legally permitted, for example where data must be retained to comply with a legal obligation, establish a right, prevent fraud or protect the rights of others. Requests relating to data processed by Paddle in connection with a transaction may also need to be addressed to Paddle. To exercise a right with ARTIFIXIELL, the user may write to the address provided at the end of this policy.

Beezview may produce indicators, scores, alerts, dashboards, reports or analyses based on data entered by the user. These elements are intended to help the organization better track projects, risks, approvals, delays or margins, but they do not constitute a legal, financial or commercial decision imposed automatically. The user remains responsible for verifying the data, interpreting the results and making decisions with discernment. Beezview should not be used as an autonomous system that alone determines rights, obligations or significant consequences for a person.

If advanced analytics features evolve in the future, ARTIFIXIELL may update this policy to explain the relevant processing. Users will be informed where new forms of processing significantly change the way data is used. Information provided by Beezview should remain explainable, verifiable and compatible with the operational objectives of the platform. No feature should be misused to discriminate, abusively profile or make unjustified decisions about individuals.

Beezview is a professional platform and is not intended for children or minors. Users must have the legal capacity required to create an account, use the platform or bind an organization. ARTIFIXIELL does not knowingly seek to collect personal data relating to minors. If an organization accidentally enters such data, it must ensure it has a valid legal basis and delete any unnecessary information.

If ARTIFIXIELL learns that an account has been created by a person lacking the required legal capacity, access may be suspended or deleted. A parent, legal representative or competent person may contact ARTIFIXIELL to report inappropriate collection. The platform is not designed to provide educational, social, medical or family services to minors. Organizations should avoid storing data relating to minors in Beezview unless there is a clear professional need compliant with the law.

ARTIFIXIELL may modify this Privacy Policy to reflect changes in Beezview, features, providers, legal requirements, security practices or payment models. The update date displayed at the top of the page indicates the applicable version. Where changes are significant, ARTIFIXIELL may inform users by email, in-app notification or any other reasonable means. Continued use of Beezview after publication of the new version constitutes acknowledgement of the updated policy.

Users are encouraged to review this page regularly to understand how their data is processed. Changes should not abusively reduce users’ rights or essential safeguards without appropriate information. If a user refuses the changes, the user may stop using Beezview, export data where this feature is available and, where applicable, cancel the subscription. Obligations arising before the change remain governed by the rules applicable at the relevant time, unless otherwise provided.

For any question relating to privacy, personal data, access, deletion requests, security or use of Beezview, the user may contact ARTIFIXIELL. The request should be clear and contain the information required to identify the account, organization or processing concerned. ARTIFIXIELL will endeavor to respond within a reasonable time, subject to necessary checks and applicable legal constraints. Complex requests may require further exchanges or cooperation with the user organization.
